Piedmont Education Foundation is looking for an excellent project manager with an interest in fundraising to join our team. We are one full-time executive director and four part-time staff and are (usually) located in the Veteran’s Hall building on Highland Ave in Piedmont, though right now we’re working from home. Our dynamic office is the central hub of fundraising for Piedmont schools.

About Piedmont Education Foundation 

Piedmont Education Foundation (PEF) is the primary support organization for the Piedmont Unified School District which includes three elementary schools, a middle school and two high schools. PEF’s mission is to provide sustained financial support for Piedmont schools through fundraising and community engagement. In order to achieve this mission, PEF raises funds, allocates grants, organizes events, facilitates communications, and supports volunteers and other school support organizations. Operating with an entrepreneurial spirit, PEF staff provides coordination, management and operational leadership for these activities. 

Position Summary 

With strategic guidance and direction from the Executive Director and support from the PEF team, the Advancement Officer is responsible for planning and implementation of the logistics for the major annual fundraising campaigns and events for the Piedmont Education Foundation. Campaigns and events include the Annual Giving Campaign, Harvest Festival, Partners in Education, March Mingle, Spring Fling, Endowment Campaign, Senior Gift, and others. This is a pivotal role that combines volunteer management with fundraising strategies and event execution.

Responsibilities 

Campaign Management

The Giving Campaign is PEFs major annual campaign. Planning begins in May and the campaign ends in December. Other campaigns include the Partners in Education program and Endowment appeals as well as one-off requests. The AO provides in-office coordination to ensure the successful implementation of these campaigns. Responsibilities include, but are not limited to:

  • Development and management of campaign overviews
    • Creation and update of calendars and timelines
    • Goal and to-goal updates, tracking and dissemination
    • Budget recommendations and revisions
  • Volunteer management
    • Communication, recruitment support and task assignment
    • Development and distribution of resources
    • Goal setting, performance review and tracking
  • Vendor management
    • Vendor research, quotes, contracts, communications, follow-up
  • Prospect Management
    • Identification, outreach, cultivation, acknowledgment, recognition, follow-up
  • General logistics
    • Mailing and email compilation and dissemination
    • Marketing and advertising support
    • On-site management

Event Management

Major PEF fundraising events include Spring Fling and Parent Parties, March Mingle, Harvest Festival, Empty Nest Party, Major Donor party, Grandparent party, New Parent party, and various other events. The AO is responsible for general event logistics and management. Responsibilities include, but are not limited to:

  • Development and management of event overviews
    • Creation and update of calendars and timelines
    • Budget recommendations and revisions
    • Support establishment and implementation of theme
  • Volunteer management
    • Recruitment, communication and task assignment
    • Development and distribution of resources
    • Goal setting, performance review and tracking
  • On-site coordination (occasional evenings or weekends)
    • Vendor communication and management
    • Oversee activities, staff, vendors and volunteers
  • Development of event materials in concert with the ED and CO
    • Conceptualize and review as-needed
    • Oversee collection, collation and distribution
  • Auction management
    • Software research and implementation
    • Physical and digital item management
    • Sales, sorting and fulfillment
  • Other duties as required or assigned

Preferred Qualifications 

  • Demonstrated proficiency with project management. • Experience with data management and fundraising software. • Highly organized; attention to detail and ability to keep focused on multiple “moving parts.” • Initiative; ability to work in an entrepreneurial environment; flexibility and ability to multi-task. • Ability to positively direct others, including staff and volunteers. • Excellent communications and customer service skills. • Proficiency with data and data management. • Experience with relevant software and systems, including Excel, Constant Contact, Raiser’s Edge, Shopify, SchoolAuction.net, accounting programs, Google Drive, Docs, Sheets, Slides, and others. • Enthusiasm for PEF’s mission.
